Challenge

The old employee onboarding experience in the TriNet platform was manual, fragmented, and prone to errors, creating inefficiencies for fast-growing small and medium-sized businesses. As client admins juggle multiple responsibilities and face increasing hiring demands, they need a more streamlined, compliant, and frictionless employee onboarding process to support their growth effectively.

My Role

I led the design of the employee onboarding experience between 2023 and 2024 in close collaboration with a UX Writer, a Researcher, two Product Managers, and a group of Software Engineers. In addition, I partnered closely with Legal, Business, and other stakeholders. I led the entire design and delivery process, including user research, concept development, design iterations, and design handoff and implementation.

Results

The new employee onboarding experience leverages AI to automate and streamline the employee hiring and onboarding process. Powered by AI, it automates repetitive tasks like form completion, document collection, and reminders. AI helps ensure required information is complete, consistent, and compliant with federal, state, and local regulations. Admins who wear many hats gain time back by offloading low-value tasks to AI—like verifying data, checking statuses, or prompting missing items—freeing them to focus on strategic work. The new experience also provides admins with insights into onboarding trends—common delays, completion times, bottlenecks—helping optimize processes over time.

The new employee onboarding experience has received highly positive user feedback from both client admins and employees, praising its much improved efficiency and intuitive design.
